Compare venues by total event cost, not the rental fee

Build one comparable total with required food, fees, staffing, rentals, timing, and the expenses each venue pushes elsewhere.

A low venue fee can be paired with a high catering minimum; an apparently expensive venue may include furniture, staff, and setup you would otherwise buy separately. Compare the same guest count, date, hours, and menu assumptions across every option.

Build the same worksheet for each venue

  • Space and date: rental or ceremony fee, food-and-beverage minimum, and any premium for the particular day or season.
  • Required additions: service charge, gratuity, sales tax, administrative fees, security, insurance, and required coordinator or staffing charges.
  • The physical room: tables, chairs, linens, place settings, dance floor, ceremony furniture, heaters, tenting, lighting, and power that are not included.
  • Time and labor: setup and teardown access, overtime rates, late pickup, cleaning, and extra staff triggered by your floor plan or bar locations.

Ask each venue for an itemized estimate based on your actual plan, plus a sample final invoice from a comparable event with private details removed. A verbal “that is included” belongs in the written proposal before you rely on it.

Find costs moved to another vendor

  • Can outside caterers use the kitchen, and are there buyout, kitchen-use, or approved-vendor fees?
  • Are cake cutting, corkage, coat check, valet, shuttle parking, or vendor meals extra?
  • Which items must be removed that night, and who pays if access runs past the contracted window?

Ownership and timing

One partner owns the comparison worksheet before the deposit; the venue contact confirms assumptions in writing. Recalculate after every material guest-count or layout change, and hand the final totals to whoever tracks the budget. Choose on the complete, workable event—not the most attractive first line.

Keep a contingency for choices you have not priced yet, but do not use it to hide known required charges. If two totals remain close, compare payment schedules and cancellation exposure as well as the final number; cash timing can matter just as much as the headline total.

Try it as a Bride IQ question

  • The cheaper venue — Two first lines, two venues. One of them is fooling you. Maybe both.
