Make load-in and load-out a planned operation

Vehicle routes, access windows, condition checks, and a clean strike protect the venue, the crew, and the couple’s remaining celebration.

Load-in is not the moment to discover that the service elevator is reserved or the only loading space is blocked. Treat arrival and strike as scheduled services with a lead, a route, and a finish condition the venue can verify.

Prepare the movement plan

  • Survey the full route. Measure the narrowest doorway, elevator, turn, and overhead clearance against the largest item. Note ramps, stairs, floor protection, dock height, and the distance from vehicle to installation point.
  • Schedule by dependency. Sequence rentals before linens, florals, and table settings; place heavy equipment before cable dressing and décor. Share the order so one team’s cart does not block another team’s only access.
  • Control the vehicle area. Confirm arrival windows, truck dimensions, parking or staging, engine-idling rules, security, and where empty cases go. Keep fire lanes and accessible routes clear throughout the booking.
  • Pack for identification. Label cases by room and installation zone, carry a manifest, and separate fragile or high-value items. Bring the protection and handling tools the surveyed route requires.
  • Define strike before arrival. Record earliest strike time, guest-clearance needs, waste sorting, venue-owned items, rental returns, damaged-item reporting, and who signs the final walkthrough.

Run a safe handoff

At arrival, the vendor lead checks in with venue operations and confirms the route is unchanged. During strike, isolate carts and loose equipment from guests, verify personal and venue property, and photograph pre-existing or newly discovered damage without blaming bystanders.

Owners and timing

  • Owner: Each vendor appoints a load lead; venue operations controls access and property rules; the coordinator resolves sequence conflicts and authorizes a delayed strike.
  • Timing: Confirm access at the production meeting, recheck the route during wedding-week coordination, text arrival to the venue contact, and complete a documented walkthrough after strike.
  • Checklist: Manifest, vehicle and crew list, route, protection, tools, access credentials, case storage, waste plan, return counts, condition photos, and venue sign-off.

Leave the space in the condition agreed with the venue. A careful finish protects referrals and deposits, but more importantly it respects the staff who inherit the room after your team leaves.
