Coordinate floral installation, repurposing, and strike

An install plan ties each arrangement to a safe location and time; a strike plan decides where flowers, vessels, water, and mechanics go next.

The floral team needs more than a pretty inspiration board. They need venue access, a finished surface to work on, safe installation methods, and a shared understanding of what happens when the ceremony ends and when the venue must be cleared.

Map every piece

  • Use a placement sheet. Link each arrangement to a diagram, room, quantity, dimensions, setup deadline, and photograph or recipe reference. Mark personal flowers, ceremony pieces, reception pieces, candles, and venue or rental property separately.
  • Sequence around other teams. Confirm rentals and linens are ready, catering has protected its service areas, photography knows when the room will be complete, and ceremony repurposing does not collide with guest movement.
  • Approve mechanics and attachments. Follow venue rules for hooks, rigging, ladders, water, weight, flame, and protected surfaces. Use appropriately qualified people for elevated or structural work; do not improvise attachment to a venue feature.
  • Plan repurposing precisely. Name who moves each piece, when, by what route, and where it goes next. Check scale and sightlines in the second location instead of assuming a ceremony arrangement will suit a reception table.

Make strike part of the design

List vase and structure returns, flowers the couple or guests may take, donations previously arranged, compost or waste handling, water disposal, and cleaning. Confirm that “guests may take centerpieces” does not accidentally include rental vessels or reusable mechanics.

Protect guests during strike by waiting for the agreed release or isolating the work area. The floral lead and venue contact should reconcile property and condition, while any donation recipient must have confirmed timing and handling needs in advance.

Owners and timing

  • Owner: The floral lead owns placement and condition; the coordinator releases repurposing and strike; venue operations approves attachment, routes, water disposal, and property handoff.
  • Timing: Submit the placement plan with production documents, verify surface readiness on arrival, inspect before photography, and reconcile all items before leaving.
  • Checklist: Diagram, quantities, access, tools and qualifications, flame rules, repurposing assignments, recipient labels, returns, water and waste plan, and final venue check.

A good strike is invisible to the couple and considerate to the people receiving the flowers or cleaning the room. Decide it while everyone still has time to choose responsibly.
