Answer the inquiry before you ask for the call

A useful first reply confirms availability, addresses the actual question, shares relevant price context, and makes the next step optional and clear.

Couples often send similar inquiries because they are comparing unfamiliar services, not because they are shopping carelessly. Read what they asked. A fast template that ignores the question creates more work than a short, specific answer.

Reply with something they can use

  • Reflect the event accurately. Use their names, date, venue or location, and service interest. If any detail is unclear, ask one focused question rather than repeating the entire intake form.
  • Answer availability plainly. Say available, unavailable, or pending a check. If the date is tentative, explain what would confirm it and when you will update them; never manufacture urgency.
  • Address their stated priority. If they asked about an outdoor setup, dietary needs, or a particular style, give a substantive answer and a relevant example. A portfolio link should support the answer, not replace it.
  • Include price context. Connect your published starting price or typical package to their request, identify obvious variables, and say when a tailored proposal will follow. Do not hold price hostage until they reveal a budget or book a call.
  • Offer a proportionate next step. Sometimes a complete answer and a proposal link are enough. When a consultation helps, offer two scheduling options and explain what you will accomplish together.

Close the loop gracefully

Send one useful follow-up with any promised information. If they decline or choose someone else, thank them and stop selling. If your availability changes while they are deciding, tell them directly rather than letting an automated sequence imply something false.

Make responsiveness measurable

  • Owner: The sales inbox owner replies; a technical lead contributes specialist answers; anyone who promises material owns its delivery.
  • Timing: Set a published response window your team can reliably meet, check pending promises before each day ends, and review unanswered or repetitive questions monthly.
  • Checklist: Question answered, availability stated, relevant price included, no unsupported claim, no pressure, one next step, and all promised attachments actually attached.

Save reusable paragraphs, not robotic conversations. The best reply sounds like a capable person who has read the note and respects that the couple is making a significant decision.
