Setup, teardown, and the rental window are one booking

Confirm when vendors may enter, when the room must be empty, and what happens to rentals between those times.

Your reception end time is not the same as vendor load-out or rental pickup. A venue may allow guests until eleven, require personal items out by midnight, and collect rentals the next morning. Those differences need names, storage, labor, and fees attached before signing.

Put every window on one page

  • Venue access for each setup team, rehearsal, early deliveries, and any pre-event personal-item drop.
  • The earliest time tables, linens, florals, lighting, catering, and entertainment can be fully ready—not merely when their trucks arrive.
  • Guest departure, music stop, bar close, vendor teardown start, personal-item removal, rental pickup, and final venue exit.
  • Overnight storage permissions, security, refrigeration, room access the next day, and responsibility for items left in a shared space.

Ask whether one event’s load-out overlaps another event’s setup and which areas must be cleared first. A ceremony flip or tight venue turnover may require additional staff even when every vendor has the correct arrival time.

Price the whole window

Check overtime for venue, coordinator, entertainment, photo, security, and transportation separately. Rental after-hours pickup, extra-day charges, and late labor can change the comparison between venues. If an item can be collected only the next day, confirm who protects it and signs for its condition.

Handoff

The coordinator reconciles all vendor contracts against the venue access schedule several weeks out. The venue lead confirms the final rooms and locks; each supplier confirms its labor and pickup. On the night, one person controls the closeout list and stays through the agreed endpoint. A relative should not discover at midnight that their vehicle is the unofficial storage plan.

Ask for a realistic setup-duration estimate from each major vendor and add venue inspection and buffer time around it. If the available window still does not fit, change the design, staffing, or access agreement before booking. Compressing the same work into an impossible hour only moves the cost and stress into the wedding day.

Try it as a Bride IQ question

  • “For the day” — The florist wants in at nine. The venue’s access window starts at two. The contract says you have it for the day.
