The final confirmation packet: one operational source of truth

Send a concise packet that lets every lead act without searching old emails or asking the couple.

The final packet is not a collage of every planning document. It is the current, agreed version of the information needed to run the event. Its job is to make contacts, timing, locations, decisions, and ownership easy to find under pressure.

Include these pages or sections

  1. One-page contacts: couple representatives, coordinator, venue, every on-site vendor lead, transportation dispatch, and the person for venue emergencies.
  2. Run of show and vendor arrival matrix, including setup dependencies, ceremony and reception cues, meal timing, teardown, and departures.
  3. Approved floor plans for normal and weather-backup operation, with ceremony, dining, service routes, accessible routes, power, bars, and vendor stations.
  4. Final counts and service notes: guests, vendors, children, allergy handoffs, rental quantities, and any contracted guarantee information each recipient needs.
  5. Ownership lists for personal décor, gifts, cake, alcohol, florals, rentals, overnight storage, and final payments or gratuities.
  6. Decision cards for weather, delays, medical or building issues, and changes the coordinator may approve without interrupting the couple.

Control the version

Use a clear issue date and version number, remove superseded attachments, and ask each lead to confirm receipt and flag conflicts. Share the complete packet with the operational leads and relevant extracts with others; private guest or dietary details should not circulate unnecessarily.

Timing and handoff

Build it as decisions are made, then issue the near-final packet a week before and only essential updates afterward. The coordinator owns the master version and a printed offline copy. On the wedding day, changes go through one channel to everyone affected. The couple carries a small personal schedule, not the entire troubleshooting binder.

Before release, test the packet against three sample questions: “Where does the cake go on arrival?”, “Who activates the rain plan?”, and “Who takes the cards home?” If a lead cannot answer quickly from the pages provided, improve the index or ownership list rather than adding another long narrative section.
